Paediatric Programme Policies — Kairos Physio
How intensive programme slots are confirmed, what happens if a booking is cancelled, the medical-emergency exception, and how Dynamic Flex Cast charges are worked out.
These policies apply to paediatric treatment booked at our clinic in Panjim — in particular intensive programmes, Dynamic Flex Cast treatment and online consultations. The same terms apply to an adult intensive block where we offer one, but the page is written for parents. They do not cover the online Guided Self-Assessment or the Performance & Recovery training app, which are governed by the Refund and Cancellation Policy.
Booking and slot confirmation
An intensive programme slot is confirmed only when the booking payment we quote you has reached us. Until then the dates are held tentatively and may be released to another family without prior notice. Therapist schedules are planned well in advance, so a delayed confirmation often means the slot you asked for is gone.
Cancellation, rescheduling and refunds
Every window below is counted backwards from the first day of your programme, using the date we receive your cancellation in writing.
- Cancelling 2 months or more before the first day: a full refund of the programme fee.
- Cancelling less than 2 months, but at least 1 month, before the first day — that is, the window running from two months before your start date up to one month before it: no refund. We may instead offer one reschedule to a later block, subject to therapist availability and at the clinic's discretion.
- Cancelling less than 1 month before the first day: no refund and no reschedule.
Genuine medical emergencies
A genuine medical emergency is not put through that ladder. Send us the relevant medical documentation; we review the circumstances, and where it is a genuine medical emergency we process a full refund. The assessment is made by the clinic after reading what you send.
Starting a programme and then stopping
If a family chooses to discontinue an intensive programme after it has begun, for personal reasons, the unused portion is not refunded. Picking the treatment up later is welcome, but it is treated as a new booking and depends on therapist availability at that time.
How long a programme runs
We generally advise a four-week intensive programme. That is the length most of our blocks are built around, and unless we tell you otherwise it is what to plan for. The recommendation itself is clinical — it comes from the assessment and from how your child responds — and it is also subject to availability, since the block we can offer depends on what is free in the therapists' schedules at the time you book.
Longer generally achieves more: more sessions mean more repetition and more time for a new movement pattern to consolidate. That does not make a shorter programme a waste of time — a shorter block, done properly, still moves your child forward; it simply covers less ground than a longer one would.
Tell us your real dates before you book, not after. We will tell you honestly what is achievable within them and recommend the length we think is right. What we will not do is describe a shorter block as equivalent to a longer one, or shorten a programme mid-way and call it complete.
Dynamic Flex Cast charges
The charge covers the professional work of assessing, applying, monitoring and modifying the cast, plus the casting materials used on your child. It is quoted per child, because the amount of material needed and its procurement cost both vary — so two children in the same programme can be charged differently. Once the casting has been carried out and the materials used, that charge is not refundable. Additional casting or replacement during the programme is charged separately where applicable.
Attendance and missed sessions
Sessions missed through late arrival, personal commitments, travel delays, illness (except where the medical-emergency policy applies) or other non-clinical reasons are not refunded. Where the schedule allows we will try to fit a missed session in elsewhere within the same intensive period, but in a full block this cannot be guaranteed.
The home programme
The prescribed home exercises are part of the treatment, not optional homework. Parents and guardians are expected to carry them out as instructed, and outcomes depend materially on doing so consistently.
Clinical decisions
Session frequency, treatment progression, whether and when a Dynamic Flex Cast is applied, exercise prescription and discharge planning are decided on clinical findings and on how your child responds. Those decisions sit with the treating therapist.
Online consultations
An online consultation is a chargeable clinical consultation, used for assessment, progress reviews, treatment planning, caregiver guidance and follow-up. It does not replace an in-person assessment where one is clinically indicated.
Changes at our end
We may alter therapist schedules for conferences, teaching and training commitments, professional obligations, illness or other circumstances outside our control. Where that happens we will tell you as early as we can and offer a suitable alternative or a revised schedule.
No guarantee of outcomes
Every child responds differently. Physicat Healthcare (OPC) Private Limited cannot and does not guarantee a specific outcome, a specific milestone, or recovery within a particular timeframe. Any expectation we discuss with you is a clinical judgement, not a promise.
